Unify: One Console for a Network of Youth Homes
Challenge
Every home in Sweet Corp’s network kept its records on its own: physical folders, loose sheets, and Word templates that each home had quietly edited over the years. Nobody could say which home was using which version of which form, and answering a question about the network meant calling five people and waiting. Staff spent their evenings writing progress notes and reports by hand from information that was already recorded somewhere else. And because these are records about children in care, handled by people with very different levels of access, “just put it in a shared drive” was never an option.
Solution
Unify puts the whole network in one console, with a structure that matches how it actually works. The parent organization designs the forms and the output documents and assigns each one down to the homes that need it; each home runs its own roster, opens its own participant records, and fills in what it has been given. A participant’s record covers everything in one place — personal details, clinical information, passes, emergency contacts, documents, notes, and a full history — and every completed document is stored with its date, its author, and the exact template version used to produce it, so a record can always be read back the way it was written. On top sits the AI layer: Docu-Maker drafts progress notes, incident reports, and care plans from data already on file, and an assistant answers questions about the network without anyone searching by hand. Access is governed by role, per organization, so a worker in one home sees their home and nothing else.
